Send the best source file you have
Vector artwork is useful for logos and shapes because it can scale cleanly. Photographic or textured designs may use high-resolution raster artwork. Do not simply enlarge a small web image and assume it becomes production-ready. Share the original source when possible and let the production team review suitability.
Review at the intended finished size
Specify the actual decoration dimensions and placement. Small lettering and fine lines may need adjustments, particularly for embroidery or small patches. A digital mockup helps communicate the idea, but an approved production proof should resolve the dimensions, colors and item.
Separate the menu from the master artwork
If guests can choose several graphics, label each design consistently across approvals, signage and production files. Confirm whether every option uses the same placement. Avoid last-minute file changes without updating the approved version and checking their effect on prepared screens, transfers or other materials.
Give one person final approval
Collect feedback before the final production signoff. Confirm names, dates, sponsor marks and permissions to use the supplied artwork. Keep a clear record of the approved file and proof. Changes after preparation may affect the schedule or materials, so raise them as soon as they are known.
