Choose an item for the people attending
Consider the audience, season and how guests will carry the item home. Apparel requires a thoughtful size range; hats and hard goods involve their own fit or product preferences. A polished choice is more useful than offering many items without a clear inventory plan.
Match the station to the program
A company meeting, evening celebration and employee open house have different participation patterns. Place the experience where it complements the agenda. If everyone arrives after a keynote, use that peak window when planning capacity and staffing.
Handle names with care
For initials, names or department-specific designs, confirm how information is collected and checked. If a roster is used, share only the details necessary for fulfillment and agree on handling with the event team. Guests should be able to review the intended spelling before a personalized item is produced.
Plan for people who cannot attend
Decide whether there is a separate allocation for remote employees or absent guests. On-site production and later distribution require different inventory and shipping arrangements. Include both in the brief so the event allocation does not accidentally consume items reserved for another group.
